Cloud storage is a technology that’s becoming more popular for many business users, and it’s easy to see the attraction. Being able to store and share documents online and access them from anywhere makes it much easier to collaborate and find documents whenever, wherever they’re needed.
But for many companies, this is a big leap and it’s inevitable that they have a lot of questions about the technology. That’s why we’ve compiled some of the ones we hear most frequently into this handy Q&A guide, to help you make your decision. Our answers are tailored towards the secure cloud storage solution that we offer, called Box.
Q: What sort of performance can I expect?
A: Download and upload speeds to Box will be largely dependent on your business internet connection. However, once a file or folder is on Box’s servers, it can be shared with colleagues and clients almost instantly, with just a few clicks.
Q: Can I access it through my mobile?
A: Yes. Box has dedicated apps available for iOS, Android, Windows Phone and BlackBerry, so whatever platform you’re using on your smartphone or tablet, you’ll be able to view, share, upload and even edit (either in-app or using 3rd party applications) your files.
Q: What security features are there?
A: Box adheres to the highest industry standards for security so you can share, access, and manage your content with confidence. Security features include:
- Secure data centres – content is stored on enterprise-grade servers that undergo regular audits and are monitored 24/7 to ensure data protection. The servers are kept behind firewalls with state-of-the-art Intrusion Detection Systems to monitor access. Data centres have uninterruptible power and backup systems, plus fire/flood prevention at storage sites.
- Redundancy – Box uses multiple data centres to host its application and data, providing essential redundancy. Files are backed up daily to additional facilities.
- Data encryption – Box uses state-of-the-art technology and industry best practices for data encryption during transit to and from the Box cloud, as well as while stored within Box. Encryption at transfer with 256-bit SSL and at rest with 256-bit AES. In summary, Box security is in some cases even better than the banks!
Q: Can I control who has access to my files?
A: Yes. Box allows administrators to strictly control which users have access to what, enabling them to manage user access controls. And with Box Enterprise Edition or above, you can set roles using groups at the folder level – for each department, team or individual user.
Q: Does it keep a record of versions?
A: Box Business Edition stores up to 50 version history records, Box Enterprise Edition stores up to 100, and Box Elite Edition offers a complete version history so you can easily track document progress and download previous versions for reference.
Q: Can I integrate it with my existing software?
A: Yes. Box functions with key business solutions such as Microsoft Office, DocuSign and Google Docs. It also has options for integration with systems including NetSuite and Salesforce to help users easily view business information from across the company. An active app ecosystem means that other integrations can be added if needed.
Q: Will I remain compliant with the Data Protection Act?
A: At NoBlue, we provide a high level of advice and support, as well as the necessary tools to ensure that firms can maintain compliance with regulations in the UK, EU and around the world. However, ultimate responsibility for the safety of your data is, under the Data Protection Act, yours and yours alone.
Q: How much does it cost?
A: Box offers four options for businesses. Box Business Edition, which costs £132; Box Business Plus, which costs £216; Box Enterprise Edition, which costs £300; and Box Elite Edition, which costs £480. All costs are per user per year, excluding VAT. If you require assistance with migration, setup and other services then this may also incur a one-off cost.
